Webinar Lens Zoom app guide

Updated September 18, 2026

Webinar Lens is a read-only connector. It links your Zoom account to webinar reporting so you can see live attendance alongside ad spend and CRM data. This guide covers adding the app, using it in your workspace, and removing it.

Jump to section

The Webinar Lens Zoom app is an optional OAuth integration. After you authorize it, Webinar Lens can:

  • List scheduled Zoom Webinars and Meetings on the connected account (not instant meetings)
  • Read registrant and participant information for the event you map to a webinar series
  • Sync attendance into your Webinar Lens dashboards for show-up reporting

Webinar Lens does not:

  • Create, start, or host Zoom sessions
  • Modify Zoom users, settings, recordings, or registrations
  • Send email or messages through Zoom

For how we store and delete integration data, see our Privacy Policy and Data deletion page.

Before you add or use the Zoom connector:

  • A Webinar Lens account and access to your organization workspace (connecting integrations requires organization owner permissions)
  • A Zoom user account with permission to install or authorize Marketplace apps (your Zoom admin may need to pre-approve the app—see Zoom's end-user authorization guide)
  • A webinar series already created in Webinar Lens before you map a Zoom event (Integrations → Zoom → pick the event)
  • Optional: a Zoom plan that includes Webinars if you want to map a Zoom Webinar rather than a Meeting. Meeting-only accounts can still connect and map a Meeting.

You can authorize Webinar Lens from the Zoom App Marketplace or from inside Webinar Lens. Both paths use Zoom OAuth and return you to Webinar Lens when authorization succeeds.

Option A — From the Zoom App Marketplace

  1. Sign in to the Zoom App Marketplace.
  2. Open the Webinar Lens listing and click Add or Authorize.
  3. Review the permissions Zoom displays and approve access for your account.
  4. Zoom redirects you to Webinar Lens. Sign in if prompted, then open Integrations to finish setup (pick the Zoom Webinar or Meeting for your series).

Option B — From Webinar Lens

  1. Sign in to Webinar Lens and open Integrations.
  2. In the Zoom section, click Connect Zoom.
  3. Sign in to Zoom if asked and approve the authorization request.
  4. You return to Integrations with Zoom connected. Continue with the usage steps below to map an event.

If authorization fails, see Troubleshooting or Contact us with the error shown on the Integrations page.

After Zoom is connected, complete setup in Webinar Lens (you must be signed in):

  1. Open Integrations and expand the Zoom card.
  2. Under Pick the Zoom event, choose the Webinar or Meeting this series uses. Recurring series and one-time events you reuse by changing the date in Zoom both appear. Instant meetings are not listed.
  3. Save your selection. Webinar Lens imports history and keeps attendance in sync when you run a refresh from the app header or dashboard.

What you will see in reports

  • Live attendance and show-up metrics for mapped occurrences, matched to CRM identities when email or other keys align
  • Warnings when Zoom cannot expose registrant lists (common for some Meeting setups)—reports may infer registration from CRM data instead

Reconnecting

If Zoom tokens expire or you revoke access in Zoom, the Integrations page may show that Zoom needs reconnection. Click Reconnect and approve OAuth again. Your event mapping is kept unless you change it.

Zoom remains optional. Meta Ads and GoHighLevel connectors are separate; you can disconnect Zoom without affecting other integrations.

You can remove access in either place (or both):

Option 1 — Disconnect in Webinar Lens

  1. Sign in and open Integrations.
  2. In the Zoom section, click Disconnect.

This clears stored OAuth tokens for Zoom in Webinar Lens and stops new syncs. Your mapped event selection may still appear until you change it, but data will not update while disconnected.

Option 2 — Remove from the Zoom App Marketplace

  1. Sign in to the Zoom App Marketplace.
  2. Click Manage → Added Apps (or search for Webinar Lens).
  3. Select Webinar Lens and click Remove.
  4. Optionally choose a reason, then confirm removal in the dialog Zoom shows.

After removal in Zoom, Webinar Lens can no longer access your Zoom account. The Integrations page may show that Zoom needs reconnection until you disconnect there as well.

Implications: Removing or disconnecting the app stops all future Zoom API access. Show-up and attendance metrics in Webinar Lens will no longer update from Zoom.

What we delete or clear:

  • Disconnecting in Webinar Lens deletes stored Zoom OAuth tokens and marks the connection disconnected
  • Removing the app in Zoom revokes authorization; we cannot refresh or use previous tokens

What may remain: Historical attendance and sync results already imported into your organization workspace may remain so past webinar reports stay consistent. To remove that data from Webinar Lens entirely, disconnect Zoom (if still connected), then delete your account from Settings or follow Data deletion if you cannot sign in.

Data in Zoom itself is unchanged by Webinar Lens removal—we never delete your Zoom meetings, registrants, or recordings.

Common issues when adding or using Zoom:

  • Admin approval required— Your Zoom account admin may need to pre-approve Webinar Lens before you can authorize. Ask your admin to approve the app in Zoom's Marketplace management settings.
  • No webinars in the list — Your Zoom plan may not include webinars. Connect anyway and map a Meeting instead.
  • Empty event list — Use the reload control on the event picker. Ensure the meeting or webinar is scheduled (not an instant meeting) under the Zoom account you connected.
  • Reconnect loop — Click Reconnect on Integrations and complete OAuth again. If it persists, remove the app in Zoom Marketplace, then Connect Zoom from Webinar Lens.
  • Sync errors — Use retry from the Integrations or header sync control. Check that the mapped event still exists in Zoom.

For help, open a support case on Contact & support (choose Support request) and mention Zoom. Include your organization name and any error text from the Integrations page.
